QikKids Gateway Process

  1. QikKids Program
    Parents billing details are entered into QikKids. For credit card and direct debit payments you activate the billing process based on your charging frequencies (i.e. weekly, fortnightly, monthly) while BPAY is fully automated.
  2. QikKids Transaction Gateway
    The gateway processes the billing request/s via direct electronic links to the financial institution.
  3. Processing Financial Institution
    The nominated financial service provider debits the nominated accounts, processing the payments directly back into your bank account(s)
  4. QikKids Transaction Gateway
    QikKids then adjusts account balances for any rejected payments and inputs new payments in the case of BPAY.

There is no need for you to install costly security measures on your systems – the QikKids Transaction Gateway uses the industry recommended security measures to protect your centre’s data.

Service Providers

QikKids Transaction Gateway does not favour any providers and we do not receive any commissions or kick backs from the service providers we work with. We currently have two service providers set up and are working towards adding more shortly. If you have a financial services institution that you think would be appropriate to participate as a service provider please send us their details so we can review and discuss with them.

Westpac

Westpac offers your centre some unique banking services for the acceptance of payments from parents. Through Westpac’s relationship with QikKids, your centre will have access to an integrated solution for the acceptance of BPAY and Credit Card transactions.

Westpac’s experience is that many parents are looking for convenient ways to pay child care fees from their credit or debit cards. BPAY provides parents with the ability to make payments through their own financial institution, at a time that is convenient to them. Furthermore, the Credit Card service enables the automated processing of a payment to the parent's Visa, MasterCard or Bankcard at a predetermined frequency.

The services provided by Westpac through the QikKids Payment Gateway will provide your centre with a very cost effective alternative to other payment methods. In addition, it can assist your centre to save time and money, and reduce the handling of cash. These services will enable your centre's staff to spend less time on processing payments and more time attending to children.

PaySmart

PaySmart are a Direct Debit and collection software specialist. When dealing with the direct debit billing of customers’ fees and the cash flow of your business, there’s no room for error. Through our direct debit billing services, we concentrate on being efficient, effective and accurate... with a ‘can do’ attitude that is geared to give you unmatched service.

Efficient cash flow management is one of the common denominators in every successful business, as is the timely collection of receivables. We have spent many years listening to our clients and now have direct debit billing software and services that are second to none.

Payment requests recorded in the morning are submitted that same day, for settlement to your nominated account in four working days.

Paysmart processes your direct debits and bank credit cards through a fast and secure online internet connection, using a process that significantly lowers the cost of using direct debit. On settlement day, PaySmart provides an email reconciliation to clearly identify the monies deposited, making your reconciliation much easier.

QikKids enables you to take advantage of the PaySmart technology to improve your administrative performance and reduce your operating costs.

FFA Paysmart’s service will be live on the 16th December 2005.

Order Process

To activate your QikKids Transaction Gateway simply follow these 4 steps:

  1. Complete the downloadable QikKids Transaction Gateway application form, nominating the service provider(s) of your choice.
  2. We will send you relevant paperwork to complete and return
  3. Ensure relevant parent billing information is entered into QikKids
  4. Start using the automated system!

FAQ Section

Do you provide a report on the transaction status?

Yes, QikKids provides reports on both transaction results and settlement batches

Our parents will be concerned about data security – what is in place to ensure security and privacy of their details?

All details, such as credit card number are encrypted before being stored in the database. These are transmitted using 128 bit SSL, secured with a 1024 bit key – this is the same encryption used by banks to protect internet banking transactions

How long does it take for the money to reach my bank account?

This depends on the service provider and the type of transaction. It can vary from overnight to 3 days

What happens if a payment is rejected?

QikKids will automatically reverse the payment and show the rejection on the family’s statement, along with a description of why the transaction failed

Do I need to become a Merchant? If so, how do I do this?

Some credit card service providers may require you to become a merchant. If this is the case they will supply you with the required paper work.

Who do I contact with questions about payments?

You can contact the QikKids Support Desk for any questions about gateway transactions. There are no charges for gateway related support questions.

Can I give refunds to parents using this system?

Not at this stage, though if there is sufficient interest we may ask service providers to support this.
