Adding and Editing Fees

Fees are created, edited and deleted from the fees list. The fees list shows all the fees currently active in a centre.

QikKids supports most fee structures including Weekly and Sibling Discounts.

Note: When offering discounts, fees are automatically averaged across all siblings to maximise the amount of CCB that a family can claim.

Fee Name

The name of the fee as it will appear on statements. It is not necessary to include the roll name or the fee type as QikKids already includes this information for each attendance printed on the statement.

Good Example: Full Day
Bad Example: Full Day Vacation Care
Bad Example: Full Day Absent

Applies to School Age / Non School Age

If relevant, tick the age range this fee is usually applied to.

Show on All Rolls

By default, QikKids only displays a fee if it has been selected in the roll set up. Tick to make a fee available on all rolls in this centre.

Show in All Centres

By default, fees are available only within the centre in which they were created. Tick to make this fee visible in all centres.

Utilisation

QikKids can provide occupancy statistics for individual rolls and across the entire centre. When using sessional fees the utilisation field is used to enter the percentage of a full place that is represented by this attendance. For example, if the fee represents one place for a full day, then the utilisation would be 100%. If the fee represents a half day attendances, then the utilisation would be 50%.

Types

Tick the different types of attendance (or non-attendance) for which this fee may be used.

Please consult the childcare handbook for an explanation of what these different fee types represent.

Roll Code

A one or two letter abbreviation for the fee name. For space reasons this appears on the roll rather than the entire attendance name.

Example: FD (for Full Day), HD (for Half Day)

Note: if you charge attendances and absences at different rates, you will need to create a separate fee to cover each rate.

Default Times

For sessional fees, indicate the typical attendance times if possible.

Fee ID

A user defined field available for custom reporting.

Price Schedules

A fee is composed of one or more fee schedules, which describes the pricing structure at a given date. A fee schedule remains in effect until a more recent fee schedule is entered, or the entire fee is deleted. When marking a roll QikKids will search all the available price schedules for a particular fee to find the one that applies to the date being marked. This allows you to enter price schedules in advance; they will not be used until attendances are charged for in the period of the new schedule.

Note: It is very important that you do not delete or edit previous schedules unless they are incorrect. If you remove or edit a schedule and calculations are backdated into the period of the altered fee schedule, QikKids will not be able to correctly calculate the fees.

New

Click new to create a new fee schedule.

Delete

Permanently removes the currently highlighted fee schedule.

Effective

The date that the fee schedule will be applied from. It will continue to apply until a date corresponding to a newer fee schedule is used.

Schedule Types

Choose the appropriate calculation method for your fee structure.

Session or Daily Fees have a fixed fee and CCB paid on a fixed number of hours, even if a child only attends part of the session.

Hourly Fees have the fee and CCB paid on the actual attendance time. You will need to enter In / Out times when you mark the roll, or in the default bookings for the child. Fees are entered at an hourly rate, QikKids calculates the fee by rounding to the nearest minute.

CCB / REG Hours

The session hours for the fee.

Discount Gap By %

Some fee schedules provide a discount based on the parent contribution. Tick the box and enter a percentage discount. 100% provides a zero gap fee.

Fee Rate

Depending on the calculation method chosen above input the fee rates for the various days, siblings, sessions and hours relevant to your fee schedule.

For QikKids 3 Users

One of the most obvious changes from QikKids 3 to QikKids 4 is the way in which fees are now organised. The new system is considerably different to that used in QikKids 3, so it is important to understand the changes before trying to add or change any fees.
