Adding and Editing Rolls

A Roll is a list of names that you usually manage as a single group. Some examples of possible rolls are:

Long Day Care and Occasional Care services will often operate several rooms concurrently; each room should be entered as a separate roll. A busy Vacation Care program may divide into two groups, an older and a younger group. If the groups are often managed independently it may be worthwhile creating them as separate rolls. Each roll generates it's own Sign In / Out sheet.

Note: QikKids automatically takes care of counting CCB siblings across the various rolls and centres.

Roll name

Enter the name of a new roll. Roll names must be unique within a centre.

Open

Tick the days that the roll is used.

Hours of Operation

Enter the standard operating hours for the roll.

Lic(ensed) Places

The number of CCB approved places used by the roll. Set this to 0 if this roll does not offer CCB approved attendances.

Note: If you exceed your approved places QikKids will continue to allow families to claim CCB. The rolls screen will highlight in red any days that the funded place limit is exceeded.

S Ration (Staff Ratio)

Enter the number of children allowed per staff member. For example, a ratio of 2 staff member per 15 children would be entered as 7.5.

Min and Max Age

If appropriate, enter the standard age range for children on this roll, designated in either months or decimal years. Some example ages are:

12m = 12 months
4y = 4 years
2.5y = 2 1/2 years

24Hr Care

Tick if 24 hour care is provided on this roll.

Care Type

Select the type of care the roll represents. The following table lists the types of care currently available:

Sign In / Sign Out Sheet Style

Select the style of sign in / out sheet that you wish this roll to use. Custom sign in / out sheets can also be created. See Customising Reports and Statements.

Default Booking and Casual Fee

For each roll, one fee should be selected as the Default Booking and the Default Casual fee. When inserting names on the roll QikKids will automatically use this fee unless it has been overridden in the permanent bookings section. You can also override a fee manually when marking the roll.

Example 1: An After School service has the following fees - $8.00 for casuals, $6.00 for booked. Preschoolers are charged an extra dollar because the service opens a 1/2 hour earlier for them.

The preschool fees could then be assigned on a per child basis for just the preschooler bookings. See Enrolments and Permanent Bookings.

Example 2: A Long Day Care Centre has the following fees for the Toddler room - $40 for casuals, $38.00 for booked.

Tick the names of all fees that will be used on this roll. If you have not yet configured any fees remember to return here and tick them once they have been added.

Fee Discounts Limited to Roll

QikKids supports fee structures that provide discounts based on repeat attendances and additional siblings. Often it is necessary it arrive at these discounts by cross-count with other rolls. For example, if a Long Day Care centre provides a sibling discount, it will usually apply to all siblings in the centre, not just siblings attending in the same room. By default QikKids calculates discounts by looking at attendances across the entire centre, however in some circumstances the discount may exclude certain rolls, or may only be available on certain rolls. For example, if you operate a long day care based after school care service, you may not want these attendances being counted toward a sibling discount for long day care attendances. Ticking this box both limits discounts, and excludes input into other discounts.

Statement Account

Select the statement account that attendances in this roll will be charged against. If your accounting requires complete separation of both payments and charges for certain types of service, for example after school care and vacation care may operate separate bank accounts, then additional statement accounts can be configured. See Configure Statement Accounts.

Roll Group

If you operate multiple centres you can group rolls into Roll Groups to use with custom reporting. Use (...) to create and edit Roll Groups.

Sign In / Out Options

Sort Sheet by Class - sorts names on the printing sign in / out sheets by the class specified in the child details.

Positions - Sets the minimum number of name positions appearing on the sign in / out sheet. For example, if you have this set to 30, and 20 children are booked in for a particular day, the sheet will contain 10 blank spaces where you can add extra names. If 40 children are booked in, the sheet will expand to contain all 40 names, but no blank spaces will be added.

GL Codes

Revenue - can be used by an external accounting system to identify the correct account to post fee transactions to for this roll.

CCB - can be used by an external accounting system to identify the correct account to post CCB transactions to for this roll.
