The users screen is used to control access to QikKids and permissions within QikKids. QikKids contains many personal and private details about the families and centres being administered and it is important to restrict access to this data. When starting QikKids the Login Screen is displayed and the user must enter a valid username and password before gaining access to the system.
If you have a large number of users, you will typically create several "groups" and assign rights to the group rather than each individual user. This way, if it is necessary to globally change a particular right, it can be altered once for everyone in the group, rather than individually for each user.
User / Group Name
The name of the user or group. You cannot have duplicate user or group names.
Group
Tick this if you are creating a group. Groups can be used to quickly assign a preset pattern of rights to users.
Prevent Changes to Items Older Than...
QikKids locks changes, deletions or additions to items in the database older than this preset limit. For general usage we recommend 30-45 days maximum. After making a change you will need to log off and back on for the change to become effective.
Use Windows Authentication
Tick this if you want Windows to authenticate the user. The username must correspond to a valid Windows user account. If you are on a domain use the format username@mydomain to have QikKids authenticate with the domain controller.
Password / Confirm Password
Enter and confirm the password.
Note: Passwords are case sensitive.
Permissions
If you are setting up a new user, select the group (if any) this user belongs to from the first drop-down list. They will automatically have permissions for the selected group.
Trust Level
Choose from Standard, Partial Trust, Full Trust or Administrator in the second drop-down list. Access to certain areas of QikKids, such as statement accounts and various administrator areas are controlled by assigning trust levels to users. Only administrators have access to the Admin screen.
Note: Even if you are only creating a single user, it's a good idea to have separate standard and administrator logins. For day to day operations use the standard login. When administrative changes are required (such as setting up new fees) use the administrator login. This prevents accidental changes being made to administrator only areas.
User Rights
Tick the rights / options that you want assigned to this user or group. If the user has been assigned to a group, these rights are inherited from the group and cannot be altered.
Allow Access
Choose Selected Centres to specify user access on a per centre basis. Otherwise choose All Centres to allow the user access to any centre.
If Selected Centres is chosen, tick the names of the centres this user will be able to access.
Note: Administrators and Master Reports users always have access to all centres.
Logging On
Once passwords and usernames have been set up, the login screen will appear when you start QikKids. After successfully logging in, the user will have access only to those sections of QikKids granted to them by the administrator.
