Displays debts on the family balances list in red.
Balances include all centres
When running multiple centres, this will cause the family balances list to display the combined balance across all centres. Unticked, the balance will be only for the centre(s) currently logged into.
Include Bookings in Balance Column
Indicates that any bookings should also be added into the balance column. Untick this if you want the balance column to include only marked attendances.
Auto Spread Credits
When using QikKids with multiple centres or multiple statement accounts, it is possible to have QikKids automatically transfer credits to another overdue account owned by the family. For example, if a family has debt of $50 in Centre 1, and a debt of $100 in Centre 2, and pays $200 in Centre 1. This will leave a credit of $150 in Centre 1 and QikKids will transfer $100 of this credit to Centre 2. The full amount of the payment will appear in Centre 1's banking.
When transferring multi-centre data from QikKids 3 to QikKids 4, it is often the case that payments were always allocated to the same centre. Once the data has been transferred to QikKids 4, this centre will show a large credit for each family, while other centres will show a large debt as they have no payments. To fix this, tick Auto Spread Credits and force the system perform a rebalance (click the small square button in the top left corner of the accounts screen). Note that families that have been deleted cannot have their balances adjusted until they have been re-activate. If you run the Aged Balances report it will re-activate any families with incorrectly assigned credits and debits, which can then be automatically transferred.
Account Aging
Controls the aging of columns displayed in the Aged Balances report. Use a minus (-) to include transactions forward of the current date.
Warn about unmarked rolls
QikKids requires that attendances are marked to finalise their entry into the financial records. Set this taking into account how often rolls should be marked.
Note: For financial reporting it is important that you allow this check to be performed regularly. It should be less than 30 days, preferably 7 or less.
Auto write off
QikKids maintains family account balances exactly to the cent. When a family leaves they will often owe or be in credit by a few cents, particularly if they pay by cash. Tick this to enable QikKids to automatically write off these odd amounts automatically when removing a family. If this tick is not enabled, QikKids will not let you remove the family until their balance has been adjusted back to zero.
Locked Period Accounting
When posting financial data back to a general ledger system, it's often important to ensure that changes to periods already posted are shown in the current period rather than the period to which they refer. If you enable lock period accounting QikKids performs additional validation on the dates for data being entered and allows data to be posted on date of entry rather than the reference date.
