The CCB tab is used to enter any change in the CCB details of an account.
There are 3 types of changes that affect CCB calculations:
All of these affect the way CCB is calculated and reported and are entered into QikKids by creating a new CCB Statement. CCB is a weekly calculation, so you should not have 2 notices applying to the same week for the same type of care.
When a family first applies for CCB (either fee reduction or lump sum) and receives customer and child CRN numbers, it is very important that the notices are correctly backdated in the system.
Families are entitled to receive a lump sum payment for attendances up to 2 years previous, so in all cases you must enter a lump sum statement if the family has attendances prior to the standard 28 days allowed when backdating first assessments. If children changed from non-school age to school age during the previous 2 years of attendance, then you must also enter a starts school date before backdating the claim. See Children for details on entering a starts school date.
If you do not enter these statements, QikKids will only be able to supply Centrelink claim data on the total fee charged, not the eligible CCB hours. Centrelink may refuse to accept claims that do not also contain the eligible hours.
Note: When you have a child that uses approved care services outside of your database, or has siblings in services outside of your database, the family should provide you with the necessary information to take these external attendances into account. Whenever these details change you must enter a new CCB Statement.
New
Enters a new CCB Details Notice. See Changing CCB Details.
Edit
Allows changes to be made to a CCB Details Notice. See Changing CCB Details.
Warning: It is very important that you do not delete or edit previous notices (unless they were entered incorrectly). QikKids will build up a history of the various changes to the CCB calculations, and will use these when backdating or correcting errors. Use New if you are entering new Assessment Notices, Parent Statements or Special CCB.
Delete
Removes an incorrect CCB Details Notice.
Note: Do not delete the previous notice when you receive a new assessment notice. The old information should remain in the computer.
Recalc
(Recalculation) Under most circumstances QikKids will automatically adjust CCB as you enter a new CCB Details Notice. However, you can force a recalculation for a particular account by using the Recalc button.
Note: There is also a function under the Tools menu to force the system to recalculate CCB for all families.
Starting from
The date that the CCB recalculation will be backdated to.
Ending
The date up until which CCB will be recalculated.
QikKids will automatically choose the appropriate Assessment Notice(s) to use during the backdated recalculation.
External
If your centre charges for absences, you are also required to take into account any absences the child has used in other services when deciding if the child has exceeded their 30 allowable absences. QikKids will automatically total absences and cut out CCB when required, but you must enter any absences that did not occur at your centre.
If your centre is approved for 24 hour care enter any external 24 hour periods used at other centres.
New
If no external absences already exist for the selected child for the current financial year, hit New to enter a record. Enter the year and number of external absences and 24 hour periods recorded.
Edit
Use Edit to update the number of external absences and 24 hour care periods as the parent advises you of them.
Note: QikKids only requires the total external absent figure for the child. In the rare situation that a child attends different Before School Care and After School Care services, you should not enter any external absences that occurred on the same day as an absence in your ASC/BSC service.
