Enrolments and Permanent Bookings

The booking detail screen is the centre of all booking information in QikKids. Every child in your service, either on the waiting list or attending will normally have at least one booking. If you operate multiple services (for example, Before School Care, After School Care and Vacation Care) then each child will have booking details entered for every service they use.

QikKids supports the following types of enrolments and permanent bookings:

Roll

Select the roll to which the booking applies

Children

Tick the names of all the children that are included in the booking. This allows one booking to cover multiple siblings in a family.

Status

Choose the status of the booking. Available choices are:

Note: waiting lists are only used for the situation where a place has not been reserved. If you are taking advance enrolments and have assigned a place to the child, their status should be designated as Placed. The Begin and End dates will determine when the booking becomes effective.

Suspended

A suspended booking remains in the system as is, though is essentially ignored as a booking. Suspended bookings are useful when you are unsure of whether a child has left your service.

Renew By

When managing a long term waiting list, it's often necessary to periodically check that families on the waiting list still require care. Entering a Renew by date allows the system to automatically prompt you to check with a family, and remove them from the waiting list if care is not required.

Frequency

Select the attendance pattern used by this booking. Available options are:

Align Weeks (fortnightly patterns only)

When entering a fortnightly booking pattern it is necessary to designate on which calendar date QikKids begins counting odd and even numbered weeks. This setting is a global setting, which means that all fortnightly bookings will be changed to align with what is entered here (the system correctly counts both forwards and backwards from this date, so it is not necessary to enter a date that falls within the range of the current booking). This is particularly useful for situations in which a number of fortnightly bookings are based on a school term. From term to term the first week of the pattern may change between even numbered and odd numbered weeks. Changing the week alignment avoids having to change each booking pattern individually.

Begin and End Dates

All bookings must have a beginning date, and optionally an end date (tick the box if you wish to enter an end date). QikKids uses these dates to construct rolls and build waiting list and enrolment reports.

Note: If your booking has an end date, QikKids will permanently the remove the booking a month after it has expired

Casual Fee

Normally leave this set to <default casual>. This instructs QikKids to use the fee designated as a casual fee for this roll. If you have more than one casual fee (such as a preschool fee, an early fee or a staff discount) then changing this will override the default fee selection and allow QikKids to use the correct fee when the child attends casually.

The default casual fee for each roll is entered on the Admin screen by editing the appropriate centre, and editing the roll concerned. See Adding and Editing Rolls.

Mon, Tue, Wed etc

Place a tick next to the days being booked (not available if the frequency is casual). QikKids will automatically place the child's name on the roll of the appropriate day. Note that having a weekly or fortnight booking pattern does not preclude a child from also attending casually.

Time In / Out

Optional. Enter times if you wish to enable the time management functions in QikKids.

Booked Attendance

Normally leave this set to <default booking>. This instructs QikKids to use the fee designated as the standard fee for this roll. If you have more than one standard fee (such as a preschool fee, an early fee or a staff discount) then changing this will override the default fee selection and allow QikKids to use the correct fee when the child is inserted on the roll as part of this booking.

The default booking fee for each roll is entered on the Admin screen by editing the appropriate centre, and editing the roll concerned. See Adding and Editing Rolls.

Roll Notes

Roll notes appear as a one line comment on the roll. They can be used to remind you or a parent of a recurring activity. For example on Wednesday John leaves for Tennis at 4pm, so John's roll note for Wednesday might read "Tennis 4pm". If you want the roll note to appear on the Sign In / Out sheet, you should select a sheet style that includes this field.

Booking Notes

Available for any additional information you wish to record about this enrolment or booking. This information is private within QikKids and does not appear on any reports intended for public viewing (ie statements, sign in / out sheets etc.)
